"How much does AI cost?" has no single answer, which is exactly why owners get very different quotes for what sounds like the same thing. A free tool, a ₹40,000 automation and a ₹10 lakh system can all be described as "AI for your business".
The way to make sense of it is to separate four levels of AI spend and, within each, one-time costs from monthly costs.
Level 1: AI assistants your team uses directly
What it is: ChatGPT, Gemini, Claude, Copilot and similar tools, used by people for drafting, summarising and research.
What it costs: Free plans exist and are enough to start. Paid plans are per person per month. In India, ChatGPT Go costs ₹399 a month and Plus costs ₹1,999 a month; business plans cost more per seat and add admin controls and stronger data terms.
Who it suits: Everyone, as a first step. Nothing is automated; a person still does the work, faster. See how to use ChatGPT in a small business.
Level 2: connecting the tools you already use
What it is: Automation that moves information between your existing apps, sometimes with an AI step in the middle. A website enquiry lands in a Google Sheet, AI sorts it by service, and a WhatsApp template goes to the customer.
What it costs: A one-time setup fee if someone builds it for you, plus monthly fees for the automation platform and any AI usage. For low volumes, monthly running costs are often modest.
Who it suits: Businesses with one or two clear, repetitive processes.
Level 3: chatbots and agents that act for you
What it is: An assistant on WhatsApp, your website or the phone that answers customers, and in the case of agentic AI, takes actions such as booking, rescheduling or updating records.
What it costs: A larger setup fee, because it must be connected to your calendar, catalogue or billing software, tested on real conversations, and given safe limits. Then monthly running costs, which scale with use:
- AI model usage, billed by the provider by volume of text processed
- WhatsApp message charges. Meta charges per delivered template message on the WhatsApp Business Platform, with marketing messages costing far more than utility or login messages. A marketing message to an Indian number costs roughly ₹0.86 per marketing message plus 18% GST (Meta's India rate from January 2026), before any provider markup, while a utility message such as a booking confirmation costs around ₹0.12 per message (and since 1 October 2026, utility messages are charged even inside the 24-hour window after a customer writes to you)
- Hosting and monitoring: someone has to keep it running and read the logs
- Changes: your prices, services and policies change, and the assistant needs updating too
Level 4: custom AI systems
What it is: Software built around your business, such as a quoting system that reads drawings, or a system that reads and files supplier invoices into your accounts.
What it costs: The most expensive level, typically priced as a software project. It's rarely the right first AI investment for a small business. Most get more from levels 1 to 3 first.
The costs that get left out of quotes
When comparing offers, these are the lines most often missing:
- Monthly running costs: AI usage, messages, hosting. Ask for a realistic monthly estimate at your volume, not just the setup price.
- Who pays the platform bills. Is the WhatsApp Business account and the AI account in your name, billed to you, or bundled into the agency's fee? Owning the accounts matters if you ever change provider.
- Changes after launch. Is updating the price list included, or billed hourly?
- GST. Software and IT services attract 18% GST. Check whether a quote is inclusive or exclusive.
- Your own time. Someone from your side must test it and answer questions during setup. Budget a few hours a week for the first month.
Is it worth it? A simple calculation
Before you spend at level 2 or above, estimate:
- Hours saved per month × the cost of that person's hour, plus
- Revenue recovered: for example, enquiries that used to go unanswered after 8 pm
…and compare that with the monthly running cost plus the setup fee spread over 12 months. If the numbers only work under perfect assumptions, wait or start smaller.
How we publish ours
Prices in this industry are often hidden until a sales call, which makes comparison hard. We publish our own tiers, in rupees, for AI chatbots, AI agents and workflow automation, including monthly running fees. Use them as one reference point when comparing quotes, ours included.
Checklist: comparing AI quotes
- Each quote is split into one-time and monthly costs
- Monthly estimate is based on your message or call volume
- WhatsApp, AI and hosting accounts will be in your business's name
- Changes after launch: what's included, what's extra
- GST inclusive or exclusive is stated
- You know who to call when it stops working, and how fast they respond
- There's a way to export your data and conversations if you leave
