How to use ChatGPT in a small business

ChatGPT is the AI tool most owners try first. Many stop at asking it general questions. The real value for a business is in handing it specific, repeated pieces of work, with clear instructions, and checking what comes back.

Below are twelve jobs that suit a small Indian business, grouped by area. Each has an example instruction (often called a "prompt") you can adapt. They work on the free plan; paid plans give longer conversations, file uploads and better models.

Customers

1. Replying to reviews. Paste the review and write: "Write a short, calm reply to this Google review for my [type of business] in [city]. Thank them, acknowledge the specific issue, offer to fix it on WhatsApp. No excuses, under 60 words." Then edit it so it sounds like you.

2. Answering common questions. List your ten most-asked questions and your real answers, then ask ChatGPT to turn them into short WhatsApp-ready replies. Save these as Quick Replies in WhatsApp Business. The AI writes them once and you reuse them for free.

3. Price lists and menus in two languages. "Turn this price list into a clear WhatsApp message in English and Hindi. Keep prices exactly as given. Use line breaks, no emojis." Then check every number. AI occasionally changes figures.

Sales and marketing

4. First drafts of posts. Give it facts: what's new, who it's for, the offer, the dates. Ask for three short versions. Choose one, fix the tone. More on this in how to use AI in marketing.

5. Quotation cover notes. Paste the scope and ask for a polite one-paragraph cover note that restates what's included and what isn't. Clear exclusions prevent arguments later.

6. Follow-up messages. "Write three follow-up messages for a customer who asked for a quote 5 days ago and went quiet. Friendly, not pushy, each under 40 words."

Operations

7. Staff SOPs and checklists. Describe how a task is done (opening the shop, sterilising instruments, packing an order) and ask for a numbered checklist a new staff member can follow. Print it.

8. Summarising long documents. Supplier terms, a lease draft, a government circular: "Summarise this in plain English. What do I have to do, by when, and what does it cost me? List anything unusual." Treat the summary as a guide, not legal advice.

9. Excel and Sheets formulas. Describe what you need ("In column D, show the number of days since the date in column B, and highlight anything over 30") and ask for the formula and where to paste it.

10. Comparing quotes. Paste three supplier quotes and ask for a side-by-side table: price, delivery time, payment terms, what's excluded.

Owner's desk

11. Thinking through a decision. "I'm considering opening a second branch 6 km away. Ask me ten questions I should answer before deciding." AI is useful at asking the questions you haven't thought of. The answers are still yours.

12. Hard messages. A late-payment reminder to an old client, a note to a staff member about repeated lateness. Ask for a draft that's firm and respectful, then rewrite it in your own words.

What not to use it for

  • Anything where a wrong answer is costly and you can't check it: tax positions, legal advice, medical guidance. ChatGPT can sound confident and still be wrong. See why AI makes things up.
  • Customer personal data on a personal account. On ChatGPT's Free, Go and Plus plans, your chats can be used to train OpenAI's models unless you switch off "Improve the model for everyone" under Settings → Data controls. Even with that off, don't paste phone numbers, Aadhaar or PAN numbers, bank details or health information. Our ChatGPT data safety guide covers this in detail.
  • Sending messages without reading them. Always read before it reaches a customer.

Which plan do you need?

Start free. Upgrade when you hit a limit you actually feel: message caps, file uploads, or sharing work with a colleague. In India, ChatGPT Go costs ₹399 a month and Plus costs ₹1,999 a month. For a team handling business data, look at the Business plan, because On ChatGPT Business (previously called Team) and Enterprise, OpenAI says it does not train on your inputs and outputs by default. Other assistants such as Gemini, Claude and Copilot work much the same way; pick the one your team will actually open.

Checklist: your first week with ChatGPT at work

  • Switch off model training in Settings → Data controls on any personal account used for work
  • Write down your 10 most-asked customer questions and real answers
  • Use ChatGPT to turn them into WhatsApp Quick Replies
  • Draft one staff checklist for a task you explain repeatedly
  • Try one document summary, and check it against the original
  • Note which jobs saved real time, and drop the ones that didn't

When a job proves itself and the volume grows, that's the point to consider automating it properly, which is where workflow automation comes in. The masterclass starts with where AI fits in a business.
